Business Bank Account in Germany: Founder KYC and Setup Checklist

A strong German business-account application explains three things without contradiction: what the legal entity is, who ultimately owns or controls it, and how money will move through the account. The bank may still decline under its risk policy, but a coherent file makes it less likely that ordinary missing evidence will derail onboarding.

This page is for founders and company operators. It is distinct from opening a personal account before registration: consumer basic-account rights do not turn a commercial applicant into an entitled business customer. Know-your-customer (KYC) checks are the bank's checks on identity, ownership, account purpose and relevant financial background.

Start with the entity, not the provider

Write a one-paragraph company profile covering the legal form, registration stage, registered office, business model, countries served, sales channels, expected monthly inflows and outflows, and why a German account is needed. Make the description match the articles, tax registration, website, contracts and invoices.

For a registered entity, obtain a current extract from the shared German register portal. A company still in formation should ask each provider which pre-registration documents it accepts and how share capital is handled. Freelancers and sole traders need evidence suited to their form rather than corporate documents that do not exist.

Build the KYC packet

Prepare:

A bank is not asking for a marketing pitch. It is trying to identify the customer, understand control and test whether expected transactions fit the stated business. If the first incoming transfer is much larger or comes from a different country than the application predicted, retain the contract and explanation before the transfer arrives.

Keep tax registration on its own track

Opening the account does not complete tax registration. ELSTER’s founder guidance says a new business requests its tax number electronically through the tax registration questionnaire and describes a one-month deadline from starting the business. Confirm the correct start date and filings with the tax office or adviser; do not wait for a bank to design the tax sequence.

A tax number, VAT ID and personal tax identification number are different records. Label them correctly in the bank file.

Compare account types by operations

Check whether the provider is a bank or another regulated payment institution, which legal entity holds the account, deposit-protection position, German or other SEPA IBAN, cards, user permissions, export formats, cash handling, international payments, currencies and support for the legal form.

Price matters, but a cheap account that cannot support dual approval, accounting exports or the company’s counterparties can become expensive. For a GmbH or larger team, decide who may create, approve and release payments before the first invoice is paid.

If onboarding fails

Ask whether the problem is incomplete identity verification, unsupported legal form, ownership complexity, source of funds, sector, country exposure or product policy. Correct factual errors and answer the named issue once. Repeated applications with inconsistent descriptions create a worse record.

Maintain a second payment route, but do not open several poorly governed accounts. Document each account’s purpose, authorized users and closure process. Founders who also need a personal arrival account should use the separate pre-Anmeldung guide.

Founders who are also relocating can coordinate company onboarding with the personal address, tax, insurance and banking dependencies in the Germany arrival checklist.
